What do I need to be doing right now to prepare for KAVIS?

1. Be aware of the status of the project and be on the lookout for any offered training.  For example, the Test Drives offered during the Spring and Fall KCCA Conferences.

2. Check in frequently with KAVIS Konnection for updates and information. Including Organizational Change tools, Computer Based Training Modules, Training Materials, project schedule, etc.

3. Check your state provided email frequently for KAVIS related updates and information. Your email is a very vital form of communication, and even more so once KAVIS goes live.

4. Share KAVIS information with others who will be impacted by the system rollout, Deputy Clerks, financial managers, technical staff, etc.

5. Be an enthusiastic Change Leader – this will help your team deal with the anxiety caused by change.

6. Talk to other counties about ways they are preparing for KAVIS. Sharing information with each other can benefit everyone.

What is KAVIS?
KAVIS stands for Kentucky Automated Vehicle Information System. KAVIS will provide the Commonwealth with a flexible, customer-centered information system for vehicle and boat titling, registration, and financial management. The KAVIS comprehensive solution will replace our legacy systems – the Automated Vehicle Information System (AVIS) and the Boat Titling and Registration System (BTR).
When will KAVIS Go-Live?

The earliest KAVIS go-live date was expected to be August 2012.  The revised earliest go-live date is the second quarter of 2013.  One reason for this change is a request from the Kentucky County Clerk Association (KCCA) that the go-live date not be scheduled between the 2012 primary (May) and general election (November) cycles.

Another reason for the revised go-live date is the level of change request activity on the project.  Change request on the KAVIS project have been issued to either add functionality to meet existing Commonwealth statutes, replace existing AVIS functionality or to support business processes.  KYTC KAVIS team members and 3M have analyzed existing pending change request and determined that additional time will be required to build the changes into the system.  Every change that is made to the system will be thoroughly tested.

KYTC KAVIS and 3M team members continue to analyze pending change request.  Once this analysis is completed a firm go-live date will be established and communicated to everyone.

Moving the project go-live date out does not mean that we are not continuing to make progress and move toward go-live. Because change request add functionality to the system, additional test cycles will need to be scheduled. Each new test cycle adds a month to the overall project schedule. User Acceptance Testing (UAT) will be scheduled once system testing is completed.  UAT is the process where the Commonwealth will certify that the system is ready for go-live.

Train-the-Trainer Training (TTT) will be scheduled following UAT.  End User Training will be scheduled at the end of TTT.
